Job Description: Site Lead (Part-Time)

Heart of Dinner is hiring for a part-time NYC based Site Lead who is passionate about making a positive impact in the lives of elderly Asian Americans living in under-resourced and underinvested communities. Inspired by the mission of Heart of Dinner and eager to join others in working to support the organization's philosophy and values, the Site Lead will work closely with the Co-Executive Directors to ensure that the weekly needs of elderly recipients are met. With a focus on building a multicultural community of volunteers that is diverse and inclusive, Heart of Dinner is dedicated to nurturing a welcoming space that raises awareness of the systemic inequities faced by Asian American seniors through care and love. About Heart of Dinner

Heart of Dinner is a nonprofit organization founded and led by queer Asian American women, Yin Chang and Moonlynn Tsai. We aim to ensure long-term food security and enrich emotional wellbeing for the homebound Asian American seniors living in significantly under-resourced and under-invested communities. We home-deliver culturally thoughtful care packages filled with nutrient-dense meals bundled in uplifting hand-illustrated bags, each paired with heartwarming handwritten notes.  At Heart of Dinner, we recognize that our senior beneficiaries are facing daily challenges of language, cultural, technological, and socioeconomic barriers that lead to loneliness and social isolation, which in turn leads to detrimental health concerns. As much as we aim to nurture through nutritious senior-friendly foods that are culturally significant, with equal effort, we also aim to cultivate joy and dignity through connectedness and words of love.

This is a part-time at-will position briefly described as follows: embracing Heart of Dinner’s (“HOD”) core ethos of serving those in need with kindness, patience, and compassion, under the direction of HOD’s Co-Executive Directors, you would be responsible for assisting in the coordination of HOD care package assembly and deliveries/distribution at a specified site, and be responsible for HOD’s distribution of food, receipt of food related items, storage, distribution of food to HOD’s elderly recipients, as well other Site Lead related responsibilities as needed. You would train and guide volunteers related to the on-site operations you’re assigned to to ensure that HOD’s weekly needs are met. The part-time Site Lead position requires up to 10 hours of work per week. This includes 4-6 hours of on-site operations (depending on the assigned site) and 1-3 hours of remote administrative tasks related to operations. The Site Lead for this position will oversee our East Village packing site, starting with approximately 3.5 hours of on-site work on Wednesdays and 1-2 hours of remote administrative work related to the role’s responsibilities. All Site Leads report directly to the Co-Executive Directors. The position is more fully described in the Job Description below.

Position Summary

Essential Duties and Responsibilities

​Assist Heart of Dinner with the operation of the care package assembling and distribution at location assigned. Here is an overall scope of duties and responsibilities but not limited to the following: ​​

  • Be onsite for Heart of Dinner operations from start to finish, leads to arrive pre-volunteer shift with enough time to prepare for set up and break down to ensure organization and cleanliness of the operation space 

  • Minimum 2 days prior to upcoming operations, write and send pre-shift instructions and reminder email to warmly welcome new and ongoing volunteers with overview of the on-the-grounds operations and any instructions that are helpful for them to feel prepared as well as sending post-shift ‘thank you’ email to Heart of Dinner Volunteers with the goal of recognizing the efforts of volunteers to instill a sense of pride and excitement that they contributed their time. The post-shift email must be sent within 1-2 days after volunteers completed their shift. 

  • All email communication related to Heart of Dinner to be communicated via your designated Heart of Dinner email address. All Heart of Dinner related email communication to CC Co-Executive Directors.

  • Rotate and make space for new volunteers at the start of every month, training will be provided. 

  • Lead and guide volunteers for your assigned location to uphold Heart of Dinner’s values and ethos as well as lead designated Corporate Volunteer Days when applicable. 

  • Work in tandem with volunteer phone callers if applicable to assigned operations location, training will be provided. 

  • Organize all drop-offs and pickups pertaining to your assigned location for the care package distribution process as well as check receipt of food ingredients delivery.

  • Practice on-site food safety and sanitary measures through any Heart of Dinner related labeling guidelines and practice FIFO (first in, first out) inventory practices to ensure food quality and minimize waste.

  • Capture behind the scenes photos/videos and send to Co-Executive Directors after each shift. 

  • Maintain accurate count of handwritten notes/brown bags on hand and oversee and guide monthly internal note-writing and bag decorating activities held at assigned location, if applicable.

  • Performs other tasks as necessary deemed by Co-Executive Directors.

  • Attend mandatory team training sessions and meetings. 

  • At Heart of Dinner, being adaptable is highly valued. As a small team, we understand that things can change rapidly and frequently, and we require someone who can quickly adjust to new circumstances.

Essential Qualifications

  • Have a valid Driver’s License or ID 

  • Be fully vaccinated and boosted against COVID-19 unless eligible for an accommodation based on a medical condition or sincerely-held religious belief and abide by Heart of Dinner’s CoVid safety protocols 

  • You are inspired by the mission of Heart of Dinner and eager to join others in working to support the organization's philosophy and objectives, are highly self-motivated and empathetic, driven by a strong work ethic, possess deep integrity and superior attention to detail with the ability to work effectively as both part of a team and independently and exercise good judgment under deadlines while providing a high level of hospitality 

  • Be able to lift 35 pounds 

  • Be punctual, conscientious, consistent, and dependable, no call no shows will not be tolerated

  • Experience in volunteering with the community and special care for the elderly while being respectful of confidential nature of client information with knowledge of first aid preferred

  • Possess strong communication and leadership skills – ability to speak comfortably and courteously to an inclusive cultural population along with a professional, warm demeanor; position requires ability to interact and communicate with staff, volunteers, and community 

  • Training in de-escalation techniques preferred 

  • Have basic computer skills and fluent in Google Drive with the ability to read and comprehend instructions and follow verbal directions 

  • Knowledge of safety, storage practices, and inventory management required

Work Environment

General work environment requires employees to consistently use manual dexterity in reaching, writing, navigating around the packing space. This position may include hours standing and walking, including up and down stairs, moving items of up to 35-pounds. 

Valid New York State driver’s license or ID is required for occasional off-site related assistance and support. The current wage is $18.50 per hour. This part-time position is located in NYC.
